TERMS AND CONDITIONS
Ethereal Rent a Car (trading as Ethereal Cars) – Chania, Greece

These terms and conditions govern the rental of vehicles by Ethereal Rent a Car. By making a reservation, the renter agrees to comply with all the terms herein.

1. Vehicle Condition and Return

Receipt & Inspection:
The renter confirms that the vehicle has been received in the condition recorded in the rental contract. Ethereal Rent a Car warrants that the vehicle has successfully passed all necessary internal, external, and mechanical inspections.
Return Requirements:
The vehicle must be returned in the same condition as received, with all tools, wheels, and accessories intact, at the agreed location specified in the contract. Returns must be made to an authorized representative of Ethereal Rent a Car.
Abandonment:
Failure to return the vehicle at the specified location and to an authorized employee will be deemed abandonment, which may result in legal actions and financial liabilities for any damages incurred or outstanding debts.

2. Pricing and Inclusions

All-Inclusive Pricing:
Our prices include all applicable taxes, V.A.T., local fees, and other charges. There are no hidden costs.
Insurance & Protection:
The rental includes Collision Damage Waiver (CDW) insurance with a €500 excess covering:
- Bodily injury to third parties and passengers
- Material losses for third parties
- Damage caused by an uninsured vehicle
- Fire, theft, and glass damage
Additional Benefits:
- Complimentary pick-up and drop-off services at Chania Airport, Chania Port, and at select hotels/accommodations within 20 km of Chania’s center.
- Replacement vehicle (subject to availability) in case of damage.
- 24-hour Roadside Assistance.
- Unlimited kilometers.

3. Required Documentation

Essential Documents:
- A valid driver’s license for all drivers.
- An International Driver’s License if required (see “Driver’s License” below).
- Passport or National ID for all declared drivers.
- Complete and valid booking details (online or phone). Ethereal Rent a Car reserves the right to cancel any reservation with invalid or incomplete booking information.

4. Driver’s License and Age Requirements

Driver’s License:
- Must be issued at least one year before the pick-up date.
- National driving licenses from EU countries are accepted.
- Non-EU citizens must present a valid International Driver’s License along with their national license.
Age Limit:
- Drivers must be between 21 and 75 years old.

5. Bookings and Vehicle Groups

Reservation Basis:
- Bookings are made based on vehicle groups rather than specific models. Ethereal Rent a Car will endeavor to assign the chosen model; however, if it is unavailable, a similar or upgraded model within the same group may be provided at no extra charge.

6. Rental Duration and Charges

Minimum & Maximum Duration:
- The minimum rental period is one day, with bookings available for as little as a few hours up to 30 days.
- For rentals exceeding 30 days, please contact us for a personalized quotation, as the rental agreement must be renewed every 30 days.
Extensions:
- Should you wish to extend your rental period beyond the agreed time, please contact us at least two days before the scheduled return. Extensions are subject to vehicle availability and must be confirmed in writing through an updated rental agreement.

7. Payment Options

Deposit and Balance:
- No deposit is required.
- The remaining balance is payable at the time of vehicle pick-up using cash, credit, debit, or prepaid cards.

8. Cancellation and No-Show Policies

Cancellation:
- Cancellation requests must be submitted by email, with confirmation of receipt from Ethereal Rent a Car.
- Cancellations received up to 7 days before the scheduled pick-up incur no fee.
- Cancellations received within 7 days of the pick-up will incur a charge of 20% of the total reservation amount.
No-Show:
- Failure to collect the vehicle within 2 hours of the agreed start time (without notifying us) may result in automatic cancellation of the reservation and a charge of 50% of the total reservation amount.

9. Late Returns

Grace Period:
- During low and mid rental seasons, a delay of up to 1 hour is allowed without extra charges.
- In the high season, delays beyond 30 minutes may incur additional charges.
Unapproved Delays:
- Returns made after the agreed time without prior extension approval will be charged daily at the current seasonal rate.

10. Fuel Policy

Fuel Level:
- The vehicle must be returned with the same fuel level as at pick-up.
- If returned with a lower fuel level, the renter will be charged for the fuel difference plus a refueling fee of €15.
- No refunds will be issued if the vehicle is returned with excess fuel.

11. Baby, Child, and Booster Seats

Seat Availability:
- Baby seats (0-18 kg) and child/booster seats (18-36 kg) are available upon request and subject to availability.
- Child seats are provided free of charge.

12. Additional Drivers

Policy:
- Additional drivers can be added to the rental agreement at no extra charge.

13. Vehicle Cleaning Charge

Cleaning Fee:
- If the vehicle is returned in a very dirty condition, a cleaning fee of €60 + V.A.T. will be charged.

14. Insurance Coverage Options

Included Insurance:
- The standard rental includes CDW insurance with a €500 excess, covering bodily damage, material losses, and specified risks such as fire, theft, and glass damage.
Extra Insurance Options:
- Full insurance (F.C.D.W.) is available for an additional €10-12 per day (depending on the car category).
- Glass breakage insurance is available for an additional €2 per day.

15. Exclusions from Insurance Coverage

Insurance does not cover the following:

Damages caused by a driver under the influence of drugs or alcohol.
Damages caused by an unauthorized driver.
Interior damages.
Damage resulting from illegal parking.
Violations of traffic laws or negligent driving.
Engine damage due to incorrect fuel or negligence.
Off-road use or operation on unapproved roads (e.g., dirt roads, beaches).
Damages incurred after the agreed return time.
Damage to mirrors, tires, rims, hubcaps, antennas, or other accessories.
Loss or damage of personal items, vehicle keys, or safety accessories (e.g., child seats, jack, spare wheel).
Theft (total or partial) resulting from renter negligence.

Fixed Compensation Amounts:

Vehicle Key: €150 for a standard key; €200-300 for a special key.
Baby Seat: €120; Booster Seat: €80.
Vehicle Battery: €120.
Antenna: €60.
Aluminum Rim: €150 each.
Plastic Wheel Cover: €50 each.
Exterior Mirror: €50 (glass) or €120 (plastic mechanism).
Car Mats: €20 each.
Soiled Seats/Interior: €100.
Window Wiper: €40.
Car Tire: €100 each (SUV/4×4 tire: €120 each).

16. Ferrying the Vehicle

Prohibition:
- The vehicle must not be towed or ferried in any unauthorized manner.

17. Traffic Fines and Administrative Sanctions

Renter’s Responsibility:
- The renter is solely responsible for any traffic fines or administrative sanctions incurred during the rental period.
- Should any fines be issued after the rental period, Ethereal Rent a Car will charge the renter’s credit card for the due amount.
Registration Plate Removal:
- If registration plates are removed by authorities during the rental period, the renter must immediately compensate Ethereal Rent a Car. The compensation will be calculated based on the daily rental rate multiplied by the number of days the vehicle remains without registration plates.

18. Additional Obligations

Vehicle Maintenance:
- The renter must routinely check the vehicle’s mechanical condition (oil, water levels, tire condition, etc.) and ensure that it is parked and locked safely.
Usage Restrictions:
The vehicle must not be used:
- In violation of the rental agreement or Greek law.
- To transport passengers or goods for a fee.
- To carry more passengers than the vehicle permits.
- For towing another vehicle or trailer.
- In races or competitive events.
- Outside of the island of Crete without prior written authorization from Ethereal Rent a Car.
Liability:
- Ethereal Rent a Car is not liable for any loss or damage to personal belongings left in the vehicle.

19. Right to Cancel

Ethereal Rent a Car reserves the right to cancel the rental agreement without liability if the renter is deemed harmful to the company’s interests or is found to be in violation of traffic laws or these rental terms.
